The client, a well-established psychotherapist specialising in psychedelic-assisted therapy, sought to expand her reach by moving from one-on-one sessions to offering online groups and paid webinars. However, with a limited budget and minimal technical knowledge, she needed a simple, cost-effective way to connect with her audience and convert leads into paying clients. This case study highlights how I worked with Virginia to craft a tailored email marketing strategy that drove substantial engagement for her webinars, while also teaching her how to set up and manage these systems on her own for future growth.

As both a strategist and coach, my role was to develop a customised email marketing strategy for Virginia that focused on growing her business through webinars and courses. I worked closely with Virginia to create email flows, manage manual database management, and write compelling email copy—all while keeping the process simple and cost-effective.

Strategy and Implementation

Email Flow Creation

  • Initial Email: Created an introductory email for the webinar offering, introducing Virginia and outlining the key benefits of attending.
  • Follow-Up Series: Developed a follow-up system for individuals who didn’t open or click on the initial email. These reminder emails increased the likelihood of conversions by encouraging those who missed the first email to engage with the content.
  • Last Chance Emails: Sent targeted “last chance” emails to those who had shown interest but hadn’t signed up, creating urgency and encouraging action.

Email Segmentation and Database Management

  • Utilised MailLite to manage a segmented email list based on engagement levels, allowing us to send personalised emails to the most interested participants.
  • Managed the database manually due to budget constraints, ensuring the list was clean and effectively segmented.

Simple Copywriting and Design

  • Worked closely with Virginia to craft simple, clear email copy that resonated with her audience while aligning with her voice and brand.
  • Designed clean, visually appealing email templates that were easy to navigate and optimised for conversions.

Reminder Emails and Timed Links

  • Set up reminder emails with timed links to encourage recipients to take action before the webinar registration closed.

  • Conducted A/B testing on subject lines, email copy, and CTAs to optimise the performance of the email campaigns.
  • Used the best-performing versions for future email sends based on the results.

Coaching and Empowerment

  • Coached Virginia on how to run her own webinars and manage her email campaigns going forward.
  • Taught her how to create campaigns, analyse results, and use MailLite to grow her email list.
